2. The personal data we collect
a) When you request a proposal or contact us
- Name, work email address, company name
- Phone number or WhatsApp number (if you provide it)
- Event details you choose to share: group size, destination city, preferred dates, event type, budget, and any notes
b) When you subscribe to our newsletter or download a guide
- Name and email address
- Your engagement with our emails (whether an email was opened or a link clicked)
c) When we deliver an event for you
- Participant lists and contact details provided by the client
- Dietary requirements, accessibility needs, and any health or medical information a client chooses to disclose so we can deliver the event safely
- Photographs and video recorded during the event
d) When you use our website
- IP address, browser and device type, pages viewed, referring page, and approximate location, collected through cookies and analytics
Sensitive data. Health, dietary and accessibility information is treated as sensitive personal data under Vietnamese law. We collect it only where a client provides it for participant safety, use it solely for that purpose, share it only with the suppliers who need it (for example a caterer or activity provider), and delete it after the event.
3. How we collect personal data
- Directly from you — via our website forms, email, WhatsApp, phone, or in person
- From the client organisation that books an event, where it provides participant information
- Automatically, through cookies and analytics when you use our website
Where a client provides us with participants' personal data, the client is responsible for informing those participants and obtaining any consent required, and confirms it has done so.
4. Why we process personal data, and our legal basis
| Purpose | Legal basis |
|---|---|
| Responding to your enquiry and preparing a proposal | Your consent; steps taken at your request prior to a contract |
| Planning and delivering an event you have booked | Performance of our contract with you |
| Participant safety (dietary, accessibility, medical needs) | Your consent; protection of life and health |
| Issuing invoices and keeping accounting records | Compliance with our legal obligations |
| Sending marketing emails and event planning content | Your consent, withdrawable at any time |
| Improving our website and understanding how it is used | Your consent to analytics cookies |
| Using event photography in our portfolio and marketing | Consent — see section 8 |
We do not sell personal data, and we do not use automated decision-making or profiling that produces legal effects.
5. Consent, and how to withdraw it
Where we rely on consent, that consent is voluntary, specific to a stated purpose, and given by a clear affirmative action — such as submitting a form or ticking a checkbox. Silence or inaction is not consent.
You may withdraw consent at any time, without affecting the lawfulness of processing carried out before withdrawal. To withdraw consent:
- Marketing emails: click "unsubscribe" in any email, or email us
- Analytics cookies: adjust your cookie settings or your browser settings
- Anything else: email xinchao@vietnamcorporateevents.com
Withdrawing consent may mean we can no longer provide certain services — for example, we cannot prepare a proposal without your contact details.
6. Who we share personal data with
We share personal data only as far as necessary, with:
- Event suppliers — hotels, venues, transport and activity providers, caterers and production teams, so your event can be delivered. They receive only what they need (for example, participant numbers and dietary requirements).
- Service providers — our website host, email and CRM platform (Mailchimp), analytics provider (Google Analytics), and payment/banking providers.
- Professional advisers — accountants and lawyers, where necessary.
- Authorities — where required by Vietnamese law, or by a lawful request from a competent authority.
We require our suppliers and service providers to protect personal data and to use it only for the purposes we specify.
7. International transfers
Some of the services we use — including our email marketing platform and analytics provider — store data on servers outside Vietnam. Where personal data of Vietnamese citizens is transferred abroad, we do so in accordance with the requirements of Vietnamese law, including preparing and maintaining a transfer impact assessment dossier and obtaining consent where required.
By providing your personal data, you consent to this transfer for the purposes described in this policy.
8. Event photography and marketing
We routinely photograph and film events. We use these images to deliver content to the client and, where permitted, in our portfolio, website, social media and marketing.
- The client is asked to inform participants in advance.
- If an event is confidential, or a participant objects, please tell us before the event and we will exclude them or the event from marketing use.
- To request removal of an image already published, email xinchao@vietnamcorporateevents.com and we will remove it promptly.
9. Cookies and analytics
Our website uses:
- Essential cookies — required for the site to function
- Analytics cookies — Google Analytics, to understand how visitors use the site so we can improve it. This includes pages viewed and actions such as submitting a form or clicking a WhatsApp link.
You can accept or decline non-essential cookies through our cookie banner, and delete or block cookies through your browser settings. Blocking essential cookies may stop parts of the site working.
10. How long we keep personal data
- Enquiries that do not lead to a booking: 180 days
- Client and event records: for the duration of our relationship and for the period required by Vietnamese accounting and tax law
- Participant details, including dietary and health information: deleted after the event, unless needed to resolve a dispute
- Marketing subscribers: until you unsubscribe or withdraw consent
- Website analytics: in line with our analytics provider's retention settings
When personal data is no longer needed, we delete or destroy it.
11. How we protect personal data
We apply appropriate technical and organisational measures, including access controls limiting data to staff who need it, encrypted transmission (HTTPS), protected accounts, and supplier agreements. No system is completely secure, but we take these obligations seriously and review our measures regularly.
If a personal data breach occurs, we will notify the competent Vietnamese authority within the timeframe required by law and inform affected individuals where required.
12. Your rights
Under Vietnamese personal data protection law you have the right to:
- Know how your personal data is processed
- Consent, or decline consent, to processing
- Access your personal data and request a copy
- Correct inaccurate personal data
- Withdraw consent at any time
- Delete your personal data
- Restrict processing
- Object to processing, including for marketing
- Complain, denounce or initiate legal action, and request compensation for damage
To exercise any of these rights, email xinchao@vietnamcorporateevents.com. We will respond within the timeframe required by law. We may need to verify your identity first.
If you are not satisfied with our response, you may lodge a complaint with the competent Vietnamese authority (the Department of Cybersecurity and High-Tech Crime Prevention, Ministry of Public Security).
13. Children
Our services are directed at businesses, and we do not knowingly collect personal data from children. Where an event involves children — for example a CSR program at a school or shelter — we work through the partner organisation and obtain the consents required by law before any photography or data collection.
14. Third-party links
Our website links to other sites, including suppliers, venues and social media. We are not responsible for their privacy practices, and we encourage you to read their policies.
15. Changes to this policy
We may update this policy from time to time. The current version is always published on this page, Where changes are significant, we will take reasonable steps to notify you.
